Details Debate: Place Cards vs. Escort Cards

5 / 10 / 173 / 21 / 18

The constant debate between escort cards and place cards. As we start to talk details with our design clients, we always get excited at the endless possibilities of ways to escort your guests to their seats. Will you use custom place cards, a signature cocktail escort “card” or an escort board backdrop or installation?

While these possibilities make our brains do the happy dance as wedding planners and designers, it never fails to be a point of confusion and a teensy bit of stress for our couples. Don’t throw in the towel and opt for open seating just yet! We’re here to offer our advice  to make this process as smooth as possible. Our job is to help you further avoid the overwhelm in the months leading up to your wedding. With this simple quiz you will know whether you need place cards, escort cards or escort boards! Think throwback to the Cosmo magazine quiz days, but faster and a lot less sexy 😉 Let’s get started:

Avalon Palm Springs Wedding Reception with copper lanterns and copper table settings.
  1. My guests will take their seats:
A.) At an assigned table, but any seat they choose
B.) At an assigned table AND an assigned seat at that table
  2. My guests will be eating:
A.) The same meal (plated, buffet, food truck or family style)
B.) Separate meal choices (chicken, steak, fish, vegetarian, etc.)
  3. If you answered “B” to the last question, please answer this (note: you may need to inquire with your caterer or venue before answering):
A.) My caterer or venue requires me to indicate meal choices on each guest’s place card in front of them and let them know of any special dietary restrictions
B.) My caterer or venue requires me to provide an excel sheet with meal choices and dietary restrictions of each guest at each table (not just total meal choices)

Place Cards vs. Escort Cards Results:

If you answered all A’s to questions 1 & 2:

You want guests to have the freedom to choose their own seats, while keeping it simple with the same meal for everyone. Your options include a simple Escort Board at cocktail hour like a large sign or frame listing out the names at each table. Get creative here, the options are fun and endless!
Provide your caterer with: The total number of guests and vendor meals
*Note: if you have any dietary restrictions (gluten, dairy, vegetarian etc.) you will let your caterer know in advance where those guests will be seated.

If you answered A then B to questions 1 & 2:

You want guests to have the freedom to choose their seats, but also have a thoughtful memento with their name to help each guest claim their seat. You will need to have an escort “card” that each guest will take from cocktail hour to their seat at the reception. The escort card will have their name and table number. This is another opportunity to get super creative and think beyond a traditional card or frame – one of our favorite parts as designers is coming up with awesome ideas that reflect you as a couple! Read the results for question number 3 to find out how to indicate guest meal choices.

If you answered B then A to questions 1 & 2:

You want guests to feel special with a custom name card at a specific seat. You will need an Escort Board telling guests which table to go to and then they will find their place “card” names at their intended seat. Since each guest is having the same meal, you will keep it simple and not need to worry about indicating meal options at each place setting.
Provide your caterer with: The total number of guests and vendor meals
*Note: if you have any dietary restrictions (gluten, dairy, vegetarian etc.) you will let your caterer know in advance where those guests will be seated.

If you answered all B’s to questions 1 & 2:

You want guests to feel supremely thought about. Each guest has a carefully placed name card at a specific seat at a specific table with their own chosen meal. You will need to have some sort of Escort Board telling guests which table to go to and then they will find their place “card” names at their intended seat. Read the results for question number 3 to find out how to indicate guest meal choices.

If you answered question number 3:
  • By answering ‘A’, this means your caterer will need you to indicate meal choices on each guest’s place card through a color system, icon system or something that differentiates each meal type clearly. Make sure to provide a “Key” for the caterer so that their staff will know each guest’s meal. You will need to provide them with the total count or number of each meal choice and each meal choice total counts by table.
  • By answering ‘B’, this means your caterer does not require you to indicate any meal choice on the guests’ place cards, but rather through an excel sheet. Also, be sure to include the total count or number of each meal choice. Organize your seating options on an Excel into two sheets by Table Number and by Alphabetical Order by last name and make column for meal choices.

Extra Advice!

If you’re providing escort cards to be displayed at cocktail hour, be sure to organize them alphabetically by last name. It saves a lot of time and is the easiest way for guests to find their “card.”

Think beyond cards! Implement design! Incorporate your interests as a couple, your jobs, the way you met and make your wedding uniquely personal.

If you are looking for custom calligraphy make sure you secure your calligrapher at least three months in advance. They will need the final information at least two weeks prior to the wedding. Be prepared to provide the calligrapher with guest names, table numbers, meal choices (if applicable) and any materials if you are providing them.

Real Wedding // Emily + Dillon // Malibu

4 / 10 / 173 / 23 / 18

Emily + Dillon’s romantic, dusty rose hued wedding was one of the most fun days we’ve had the honor of planning! Filled to the brim with personal touches and a large crowd of cheering friends and family, these two were showered with love all day long. From the get-go, Emily + Dillon wanted to infuse their wedding with sentiments and decor that were personal to them.

Since Emily is a geologist, we decided to go with hues inspired by duty rose quartz gems. We incorporated stone ‘chargers’ into the place settings and added copper touches with tumblers and flatware from our favorites at Borrowed Blu to round it out. Guest’s names were hand-written in copper ink and tied to torn parchment finished with a silk ribbon. Dani of Laceroots Floral brought in the gorgeous blooms and dripping greenery we were absolutely in love with! Just look at those hanging lanterns… so romantic, right? Custom calligraphy and wooden signage by The Honeycomb Collective  complemented the rustic charm of the Oaks Room.

Another exciting element to this wedding? The adorable “flower grams” walking down the aisle! The adorable grandmas had guests cracking up as they showered each other with petals (and even threw some at the guests!). Forestry Films did an incredible job capturing the romance and the excitement Emily + Dillon shared on their day. We can’t wait to keep laughing alongside one of our favorite couples, ever. Cheers to the Stamms!

Real Wedding // Melanie + Jay // Long Beach

2 / 14 / 173 / 23 / 18

There are not enough sweet words to describe Melanie + Jay and their modern wedding at the Ebell of Long Beach. These two are seriously adorable and seriously in love. Captured beautifully by Jennifer Young Studio, their wedding day was filled with modern touches and minimal style. Bright shades of green were incorporated into the decor and complemented the Ebell’s already extensive foliage. Melanie chose a simple and flowing wedding gown and her maids wore lovely shades of blush. To brighten up the minimal decor, copper elements were woven into the table settings and the various little vignettes around the space.

Melanie + Jay opted for an updated take on their guestbook that really got guests interacting. Those in attendance snapped Polaroids of themselves and glued them into a kraft book with sweet messages to the happy couple. Since these two absolutely love coffee, a custom espresso bar from Urban Espresso was set up at the end of the night and a doughnut dessert bar was also displayed. Flavors like strawberry cereal and Cap’n Crunch are two favorites the couple wanted their guests to enjoy.

Real Wedding // Lynn + Andy // Ritz Carlton Laguna Niguel

2 / 6 / 173 / 23 / 18

Lynn and Andy came to us with a gorgeous vision for their Ritz Carlton wedding in Laguna Niguel along with one amazing group of talented vendors we were so excited to work with. Wanting to capitalize on the breathtaking scenery Southern California’s beaches have to offer, we kept the wedding outside for as long as possible before turning the ballroom into a bright ‘after party’ lounge furnished by the chic Found Rentals. Custom installed twinkling lights by Classic Party Rentals were measured and strung to really give guests the feeling of dining under a canopy of stars. A color scheme of soft blushes and greys complimented the Ritz Carlton’s courtyard and mimicked the sunset’s hues as the night went on. Shining crystal and gold accents on the tablescapes provided the right amount of sparkle to round out the decor. Adrienne at The Bloom of Time outdid herself with the lush garlands and enormous dahlias that made such a floral statement!

Throughout the entire planning process, Lynn was enthusiastic and ready to make the romantic seaside inspiration come to life and we are so thankful to have been along for the adventure. Wishing Lynn + Andy a truly happily ever after.

Real Wedding // Jeannine + Nick // San Diego

1 / 23 / 173 / 23 / 18

Jeannine is a dear friend of ours who we met during our college years as Alpha Phi sisters. We’ve spent countless hours together at the sorority house and Jeannine and Chelsea even worked together coordinating the Red Dress Gala philanthropy event. Planning the biggest event of Jeannine’s life with her was a natural fit! Nick is currently serving in the Navy and stationed in San Diego, so the couple decided it was a perfect location for their wedding. Nick had a couple months off before he was back in action and their big day was timed perfectly to allow all members of their family to attend.

The wedding was a reunion on another level with the photography shot by Aaron Young Photography, who all of us worked with years ago for Alpha Phi’s Red Dress Gala. Jeannine + Nick and their gorgeous wedding party posed for pictures at the University of San Diego’s Immaculata Church before heading to the reception at military-based Admiral Baker Golf Course. Jeannine kept shades of navy and gold woven through her decor and her florals by Studio Fleurish fit the space and classic feel perfectly.

Our favorite detail? The custom ice cream sandwiches at the end of the night by The Baked Bear! Guests were treated to these treats after a packed evening full of so much joy. Congratulations, Jeannine + Nick – we wish you a forever sweet love 🙂
